Getting Started

How do we know which service we need?

You do not need to choose one. Tell us what is happening, and we will recommend the most appropriate next step.

What happens after we inquire?

We review fit, scope, general volume, sensitivity, timing, and current capacity, then explain the appropriate next step.

Do we need to organize first?

No. We begin with the collection as it actually exists.

Documents

What kinds of documents can you organize?

Eligible projects may include active documents, important records, shared working files, household materials, and selected paper records. Final scope is confirmed in writing.

Do you work with paper?

Selected paper preparation and digitization may be included in an eligible document-system engagement.

Do you offer standalone scanning?

No. Paper-to-digital integration is not a standalone bulk-scanning service.

Will you delete documents?

We do not make irreversible content decisions without client authorization and an agreed procedure.

Privacy

What should we avoid sending through the inquiry form?

Do not send passwords, Social Security numbers, tax identification numbers, full account numbers, identity documents, medical records, confidential contents, or files.

How are documents handled?

Approved procedures define access, storage locations, transfer, physical handling, working copies, retention, and closeout for each accepted project.

How does access work?

Access is established only as needed and under the approved processing conditions.

Projects

Can service be remote?

Yes. Structured Docs is a remote-first business. Any eligible physical-document handling is scoped and coordinated separately.

How long does a project take?

Timing depends on scope, volume, complexity, client decisions, and transfer or digitization needs. We confirm timing in the written scope.

How is price determined?

Pricing reflects the defined scope, collection size, complexity, sensitivity, handling requirements, paper preparation needs, and deliverables. Current starting and fixed prices appear on our Services page.

Are some collections outside your scope?

Yes. We do not accept legal case files, medical records, tax returns, payroll or HR files, tenant-screening files, or other regulated or high-risk collections.

How much material can be included?

Volume is assessed during intake. We may recommend a bounded phase when a collection is large or still unclear.

Maintenance

Will we know how to use the system afterward?

Yes. Applicable engagements include written guidance and an explanation of the completed system.

What happens when new files arrive?

The system includes placement and naming rules designed to help you handle new material consistently.

Do we need ongoing service?

Not necessarily. Our goal is a maintainable system. Future support may be scoped separately when needed.
